Booking Terms by Planning Stage

These Booking Terms and Conditions explain how quotations, deposits, payments, itinerary changes, cancellations, and traveller responsibilities are handled when you book with Josh Dreamland Safari.

1

Quotation and availability

Quotes are prepared from your travel dates, group size, accommodation level, park fees, permits, transport, and requested activities. Prices and availability may change until the booking is confirmed.

2

Confirmation and deposit

A booking is confirmed only after Josh Dreamland Safari receives the required deposit or agreed payment and sends written confirmation.

3

Payments and supplier deadlines

Payment schedules help secure lodges, vehicles, permits, flights, guides, and activity spaces. Some services may have stricter supplier rules than others.

4

Changes, cancellations, and responsibilities

Travel changes are possible when availability allows, but extra costs, supplier fees, and cancellation terms may apply depending on timing.

How Booking Confirmation Works

By confirming a safari, Kilimanjaro trek, Zanzibar holiday, day trip, or other travel service with Josh Dreamland Safari, you agree to these terms together with your written quotation, invoice, itinerary, and any supplier-specific conditions shared before payment.

Quote validity

Quotes are normally valid only for the period stated in the quotation. Park fees, government taxes, fuel costs, currency changes, and supplier rates may affect the final price if they change before confirmation.

Provisional holds

We may hold selected services for a short time while you review your itinerary, but suppliers can release rooms, permits, vehicles, or activity spaces if payment is delayed.

Deposit and balance

A common deposit amount is 20% of the total trip cost unless another amount is stated. The final balance must be paid by the due date shown on your invoice or agreed in writing.

Payment methods

Accepted payment methods may include bank transfer, card payment, online payment link, PayPal, or cash where appropriate. Payments should only be made through official Josh Dreamland Safari channels.

What To Check Before You Pay

Your confirmed itinerary and quotation will show what is included and excluded. Please review these details carefully before payment and ask our team to clarify anything that is unclear.

Included services

Typical inclusions may include accommodation, meals listed in the itinerary, park fees, professional guide services, safari vehicle, transfers, and planned activities.

Excluded costs

Common exclusions include international flights, visas, travel insurance, tips, drinks, personal expenses, optional activities, and anything not clearly listed as included.

Traveller details

Passport names must match booking and flight details. Clients must provide accurate traveller information before supplier deadlines.

Health and fitness

Some safaris, treks, hikes, boat trips, and adventure activities require suitable health and fitness. Tell us early about medical, dietary, mobility, allergy, or special requirements.

Changes, Cancellations, and Travel Disruptions

We understand that plans can change. Requests to change dates, accommodation, routing, activities, rooming, or traveller details must be sent in writing. We will do our best to assist, subject to availability and supplier approval.

Client-requested changes

Changes made early are usually easier to manage. Additional costs caused by requested changes, name corrections, flight changes, permit changes, or accommodation amendments must be paid by the client.

Supplier or operator changes

Travel can be affected by weather, road conditions, park rules, accommodation changes, flight schedules, safety concerns, government decisions, or other circumstances outside our control.

Cancellations and refunds

Cancellation requests must be submitted in writing or by email. Cancellation charges depend on timing, trip type, and supplier commitments already made. Please also read our Cancellation Policy.

Flights and delays

Unless clearly included, international and domestic flights are not included. Extra costs from delayed, cancelled, changed, or missed flights are the client’s responsibility unless covered by an airline or insurer.

Practical Steps Before You Book

  • Confirm the quote validity period before making travel decisions.
  • Check what is included and excluded in your written itinerary.
  • Ask about supplier-specific rules for lodges, permits, flights, and special activities.
  • Keep traveller names exactly the same as passport and flight documents.
  • Buy comprehensive travel insurance covering cancellation, medical emergencies, evacuation, delays, missed connections, baggage, and trekking where relevant.
  • Send change requests in writing as early as possible.

Traveller Responsibilities and Safety

Travellers are responsible for ensuring they are ready and eligible to travel. This includes passports, visas, vaccination or health requirements, travel insurance, correct names on documents, flight details, fitness for chosen activities, and compliance with local laws and park rules.

Follow safety instructions

Clients must follow instructions from guides, rangers, drivers, accommodation staff, and activity providers. Participation may be refused if behaviour risks safety, property, wildlife, staff, or other guests.

Raise issues during travel

If something is not right during your trip, inform your guide or our office as soon as possible so we can try to resolve it while you are still travelling.

Privacy and booking information

We use booking information to prepare quotations, confirm services, coordinate suppliers, and support your travel. Some details may be shared with lodges, transport providers, park authorities, airlines, or activity suppliers. Please see our Privacy Policy.

Force majeure

Josh Dreamland Safari is not liable for failure or delay caused by events outside our reasonable control, including severe weather, natural disasters, disease outbreaks, unrest, government restrictions, park closures, strikes, supplier failure, or transport disruption.

Booking Terms and Conditions FAQs

When is my booking confirmed?

Your booking is confirmed only when Josh Dreamland Safari receives the required deposit or agreed payment and sends written confirmation.

How much deposit do I need to pay?

A common deposit amount is 20% of the total trip cost, unless your quotation or invoice states a different amount. Some flights, permits, peak-season lodges, or special services may require a higher deposit.

Can I change my travel dates or itinerary?

Yes, you can request changes in writing. Changes depend on availability, supplier approval, and any extra cost caused by the amendment.

Are flights refundable?

Flights and some third-party services may be non-refundable once booked. Any refund depends on the airline or supplier conditions attached to that booking.

Do I need travel insurance?

Yes, we strongly recommend comprehensive travel insurance for cancellation, medical emergencies, evacuation, delays, missed connections, personal belongings, and trekking or adventure activities where relevant.

Who should I contact if I have questions?

Please contact Josh Dreamland Safari before making payment. We are happy to explain your quotation, itinerary, invoice, or policy wording so you can book with confidence.
